Job Description
We are seeking a motivated and detail-oriented Administrative Assistant to support administrative, marketing, and light accounting functions for a growing service-based construction organization. This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and is looking for a long-term opportunity.
What We’re Looking For 2+ years of administrative or office management experience Experience in a service or construction-related industry, ideally in an admin or project coordination role Hands-on experience with RFPs, RFQs, proposals, and contract management Exposure to marketing materials, website updates, or social media management Strong tenure and commitment (no more than two similar roles in the past four years) Self-motivated, reliable, and eager to learn with minimal supervision Key Responsibilities Administrative & Project Support Prepare and submit RFPs, RFQs, and proposals Review contracts and prepare budget or scope amendment letters Set up new projects, vendor records, and project files Coordinate meetings and prepare related materials Track inspections and assist with report follow-ups Proofread reports and correspondence Provide occasional travel coordination General office support including phones, filing, and reports Marketing Support Prepare and update marketing materials (resumes, project experience, outreach materials) Maintain company presence on city, county, and state rosters Manage social media accounts and update website content (based on experience) Accounting Support Assist with invoicing, project budgeting, and light payroll support as needed Skills & Qualifications Excellent time management and organizational skills Strong written communication and proofreading abilities Proficient in Microsoft Word, Excel, PowerPoint, and Outlook Comfortable working independently and learning new processes (“self-training”) 1–3+ years of relevant experience; degree preferred but not required Familiar with standard office equipment (printers, copiers, scanners) Bonus: Background in payroll or invoicing This is a great opportunity for an administrative professional seeking stability, growth, and a hands-on role within a specialized construction services environment.
