Bayou City Dermatology is a fast-paced, patient-centered dermatology practice that takes pride in providing compassionate, efficient, and high-quality care. We’re looking for an experienced and highly organized Office Manager to lead our front desk, cosmetics, and back office operations.

Key Responsibilities

Leadership & Team Management

  • Supervise, train, and mentor staff (Receptionists, Medical Assistants, Patient Care Coordinators and Estheticians).

  • Maintain coverage schedules, manage PTO requests, and ensure adequate staffing during peak hours.

  • Conduct performance evaluations, identify training needs, and provide ongoing coaching and feedback.

  • Foster a positive, team-oriented work culture focused on accountability and communication.

Patient Experience

  • Oversee the daily flow of the front desk, ensuring patients are greeted promptly and treated with professionalism.

  • Resolve escalated patient concerns or complaints with empathy and efficiency.

  • Ensure accuracy in scheduling, check-in/check-out, copay collection, and insurance verification.

  • Collaborate closely with clinical and billing teams to maintain smooth patient transitions.

Administrative & Operational Duties

  • Oversee front-office workflows, process improvement, and adherence to practice policies.

  • Manage office supply inventory and maintenance coordination.

  • Support CLIA, HIPAA, and OSHA compliance documentation (including corrective actions and audits).

  • Generate and review daily reports no-shows and call queue performance.

  • Work alongside management to improve patient retention, efficiency, and service quality.

Communication & Coordination

  • Serve as the primary liaison between front office, back office, and management.

  • Lead weekly or biweekly team meetings to share updates, feedback, and best practices.

  • Assist with onboarding new hires and reinforcing company values and standards.

  • Support special projects, EMR updates, and policy rollouts as assigned.

Qualifications

  • 3+ years of medical office or clinic management experience (dermatology preferred).

  • Strong leadership and communication skills, with the ability to motivate and guide a team.

  • Familiarity with EMR systems (e.g., eClinical Works).

  • Understanding of medical insurance, patient billing, and compliance documentation.

  • Excellent organizational skills and attention to detail.

  • Ability to multitask and thrive in a fast-paced, high-volume environment.
