The Health Information Management (HIM) Communication Specialist is the first point of contact for patients, families, and external partners calling the medical office. This role is responsible for managing high-volume incoming calls with professionalism, accuracy, and a service-focused approach. In addition to call management, this position provides administrative support to the Health Information Management (HIM) department, ensuring timely and compliant handling of medical records, requests, and documentation.

Responsibilities:

Telephone & Frontline Communication

  • Answer and route a high volume of inbound calls in a courteous, efficient, and accurate manner.
  • Provide general information to callers.
  • Triage calls to the appropriate clinical or administrative staff based on established protocols.
  • Maintain a calm and friendly demeanor during challenging or emotional patient interactions.

HIM Support Duties:

  • Assist with scanning, indexing, and quality assurance of electronic health records.
  • Process medical record requests in compliance with HIPAA and organizational policies.
  • Help maintain accuracy, organization, and confidentiality of patient records and other HIM-related data.

General Administrative Duties:

  • Maintain updated knowledge of department workflows, providers, and services offered.
  • Assist with mail distribution, fax processing, and other clerical tasks.
  • Participate in team meetings, training sessions, and quality improvement initiatives.
  • Uphold patient confidentiality, service excellence standards, and organizational values at all times.

Candidate Requirements:

  • High school diploma or equivalent required; post-secondary training in healthcare administration or related field preferred.
  • Prior experience in a medical office or HIM department strongly preferred.
  • Exceptional customer service and communication skills.
  • Ability to multitask in a fast-paced environment and manage high call volumes.
  • Familiarity with HIPAA regulations and electronic health record (EHR) systems.
  • Strong attention to detail, accuracy, and organizational skills.
  • Proficiency with phone systems, computers, and standard office software.
