Position Overview
The Bookkeeper & Payroll Specialist is responsible for maintaining accurate financial records, managing day-to-day bookkeeping activities, and ensuring timely and compliant payroll processing for multiple clients. This role supports small business clients with precision, professionalism, and a strong commitment to confidentiality and accuracy. While most work can be performed remotely or from the office, limited travel to client locations may be required for onboarding, training, or special projects.
Key Responsibilities
Bookkeeping Duties:
Record daily financial transactions, including accounts payable (A/P), accounts receivable (A/R), and bank reconciliations.
Maintain general ledgers, journals, and financial reports for client accounts.
Prepare and review monthly, quarterly, and year-end financial statements.
Manage expense tracking and vendor payments.
Assist with 1099 preparation and client support for year-end processes.
Support CPAs and tax preparers with clean, organized financial data.
Payroll Duties:
Process weekly, biweekly, and monthly payrolls for client businesses.
Calculate wages, deductions, benefits, and employer contributions accurately.
Prepare and file federal and state payroll tax reports (941, 940, state withholding, unemployment, etc.).
Maintain compliance with wage and hour laws and payroll regulations.
Handle new hire setup, W-4/I-9 documentation, and direct deposit management.
Communicate payroll-related updates and reports to clients promptly.
Client Support & Systems:
Provide excellent customer service and maintain positive client relationships.
Utilize accounting and payroll software (e. g., QuickBooks Online, Gusto, ADP, or similar).
Assist clients in implementing new paperless systems and client portal access.
Uphold data privacy and security policies at all times.
Travel occasionally to client sites for meetings, setup, or hands-on support as needed.
Education: Associate or Bachelors degree in Accounting, Finance, or related field preferred.
Experience: Minimum 23 years of bookkeeping and payroll experience (public accounting or client-based work preferred).
Technical Skills:
Proficient in QuickBooks Online, Microsoft Excel, and cloud-based accounting tools.
Familiar with payroll systems such as Gusto, ADP, or QuickBooks Payroll.
Soft Skills:
Strong attention to detail and organizational skills.
Excellent communication and client service abilities.
Ability to manage multiple client accounts and deadlines simultaneously.
Professional demeanor and reliability when visiting client sites.
